hubsells personal notes and its respective placeholder allow you to take the personalization of your mailings to the next level. In this and all related articles I will explain how to use and apply personal notes to your templates and give advice for best practice.

To begin with, the placeholder is as follows:

{{personalNotes}} or {{personalNotes2}}

Personal notes can be entered via the prospects profile or via the personal notes column. For the latter it's necessary to work with the "edit mode", a detailed guide can be found here:

How to access and use the "edit-mode"

Additionally we recommend to adjust your displayed columns. We've created a slim step-by-step guide for this adjustment:

How to deactivate columns

Best Practice

Personal notes can add an additional layer of personalization to your mailings, when applied correctly. A good example could be a sentence early in your mailing template, which makes clear, that you thoroughly researched your prospects products and services and thus came the conclusion to reach out. Reading through your prospects about us page can give you a good overview.

Process

  1. create a new campaign with a specific group of prospects
  2. create a template using the dynamic placeholder {{#if personalNotes}}{{personalNotes}}{{else}}ALTERNATIVE TEXT{{/if}}
  3. go to contacts, search for the prospects of your campaign
  4. adjust the columns and use the edit mode as described above
  5. enter your personal notes as they fit to the placeholder
  6. preview your templates and make sure the notes fit the overall tone of your mailing

Following you will find a small example. Please note, that this example is entirely fictitious

Example

  • Prospect name: Steve Smith
  • Company Name: Smith & Sons Ltd.
  • Industry: Finance
  • Personal Note: because you and your sons outshine your competitor Miller & Sons Ltd. in the entire finance industry

Template:

Hello {{firstName}},

I'm reaching out to you {{if personalNotes}}{{personalNotes}}{{else}}because {{companyId.shortName}} is a well known magnitude in the {{lowerCase companyId.industry}} industry{{/if}} and I wanted to say hello.

With personal notes the template will read as follows:

Hello Steve,

I'm reaching out to you because you and your sons outshine your competitor Miller & Sons Ltd. in the entire finance industry and I wanted to say hello.

Without personal notes the template will read as follows:

Hello Steve,

I'm reaching out to you because Smith & Sons is a well known magnitude in the finance industry and I wanted to say hello.

Conclusion

As you can see the text without personalization is generic and does not show the recipient that you researched their company, while the other clearly does and puts your outreach into a bigger context.
